Zebra ZD421 lights and errors: what they mean and how to fix them

The ZD421 has no display, so it reports problems through five indicator lights. Green means ready, amber means busy or a warning, red means the printer needs you. Find your pattern below and open the matching fix.

Fixes

1. Media outSTATUS and SUPPLIES steady red

CauseThe printer finds no labels. The roll is empty, or the movable sensor is in the wrong place or dirty. A missing label on the liner marks the end of a roll.

Fix

  1. Roll empty? Load a new one without switching off, or the current job is lost.
  2. Check that the labels run under both media guides and that the roll turns freely.
  3. Check the movable sensor: default position for gap labels, over the mark for black mark or notched labels.
  4. Close the cover and press FEED once or PAUSE to continue.
  5. Still red? Run SmartCal: hold PAUSE + CANCEL for 2 seconds. If that fails, see our ZD421 calibration guide.
2. Ribbon outSTATUS red, SUPPLIES flashing red

CauseThe ribbon is used up; genuine Zebra ribbons end with a reflective trailer the printer detects. On a ZD421c, the cartridge may be missing or its chip unreadable.

Fix

  1. Fit a new ribbon roll or cartridge as shown in our ZD421 setup guide and close the cover.
  2. If printing does not continue, press FEED once or PAUSE.
  3. ZD421c: try another genuine Zebra cartridge, and clean the cartridge chip with a swab moistened with alcohol.
  4. Printing on direct thermal labels without ribbon? Check that the print method in the driver is set to direct thermal.
3. Cover open, cutter or printhead errorSTATUS red, with or without PAUSE amber

CauseSTATUS red with PAUSE amber: the cover is open or not fully latched. STATUS red on its own: the cutter blade is jammed by labels, adhesive or a foreign object. STATUS flashing red on its own, or STATUS, PAUSE and DATA red: the printer cannot read the printhead or does not accept it as a genuine Zebra printhead.

Fix

  1. Cover: press down on both front corners until the latches click into place. Still red with the cover closed? The head-open switch needs service. Contact us.
  2. Cutter: hold POWER for 5 seconds to switch off, wait until the printer has shut down and switch it on again. Never put fingers or tools into the cutter and don't remove its cover. If the error returns, contact us for service.
  3. Printhead: this usually follows a printhead replacement. The printer needs a genuine Zebra printhead, fitted correctly. Contact us.
4. Printer pausedPAUSE steady amber

CauseSomeone pressed PAUSE, or the printer paused itself after an alert.

Fix

  1. Press PAUSE once to continue printing.
  2. To clear jobs first: while paused, press CANCEL once to drop the next label format, or hold it for 2 seconds to drop all waiting formats.
5. Printhead too hotSTATUS amber, or STATUS and PAUSE flashing red

CauseA long print run or a hot spot, such as direct sunlight, has overheated the printhead. Steady amber: the printer pauses to cool. Flashing red: it has shut down.

Fix

  1. Steady amber: wait. Printing continues by itself once the printhead has cooled.
  2. Flashing red: switch the printer off, let it cool for several minutes and switch it on again.
Important

The printhead gets hot during printing. Let it cool before you touch it.

6. Printhead too coldSTATUS flashing amber

CauseThe room is below the operating range of 4.4–41 °C, or the printhead temperature sensor has failed.

Fix

  1. Switch the printer off, move it somewhere warmer and let it warm up slowly. Fast temperature changes can cause condensation inside.
  2. Room warm enough? Hold POWER for 5 seconds to switch off, wait until it has shut down and switch on. If the light keeps flashing, contact us.
7. Out of memoryDATA flashing amber

CauseNo room is left to store a label format, graphic or font.

Fix

  1. Make the label format or its print area smaller.
  2. Delete stored graphics, fonts and formats you no longer use.
  3. Check that your software stores data on a drive the printer has.
8. ZD421c cartridge alertsSTATUS amber with SUPPLIES flashing, or STATUS and SUPPLIES flashing red

CauseSUPPLIES flashing amber ("Ribbon In"): a ribbon cartridge is fitted while the printer is set to direct thermal. SUPPLIES flashing red and amber: the cartridge is nearly empty (10 % left by default). STATUS and SUPPLIES flashing red: the cartridge cannot be authenticated; the printer only accepts genuine Zebra cartridges, not refilled or other brands.

Fix

  1. Direct thermal labels: remove the cartridge without switching off, close the printer and press FEED or PAUSE.
  2. Thermal transfer labels: set the print method to thermal transfer in the driver. In a ZPL label format, change ^MTD to ^MTT.
  3. Cartridge low: have a new genuine Zebra cartridge ready.
  4. Cartridge not accepted: fit a genuine Zebra ribbon cartridge.
9. Network not connectedNETWORK red

CauseSteady red is an Ethernet or Wi-Fi fault. Flashing red, then flashing amber, means Wi-Fi is still connecting. For comparison: green is a 10/100 Ethernet link or strong Wi-Fi, amber a 10Base Ethernet link, flashing green weak Wi-Fi, and off means no Ethernet link.

Fix

  1. Ethernet: check the cable at both ends and try another switch port.
  2. Hold FEED + CANCEL for 2 seconds to print the configuration and network reports, and check the network settings.
  3. Wi-Fi: check the network name and security settings. If the settings are wrong, reset the network settings as shown in our ZD421 reset guide and set them up again.
Note

On ZD421 printers that ship with Zebra's EU security setup (from 1 August 2025), some network settings can only be changed with the Protected Mode password. See our setup guide.
